Create Your Digital Home File

One house. One place for everything.

Your home comes with more paperwork than most people expect—closing documents, insurance policies, tax records, warranties, repair invoices, permits, renovation receipts and more. A simple digital filing system keeps all of it organized and easy to find when you need it.

Why this matters

An organized home file is one of those things you rarely think about until you really need it. Having your records in one place makes it easier to:

  • Find important documents quickly
  • Track repairs, maintenance and improvements
  • Keep warranties and appliance information organized
  • Prepare for insurance, tax or refinance questions
  • Maintain a useful record of your home’s history
  • Make life much easier when it is eventually time to sell

Step 1: Create one main folder

Use Google Drive, iCloud Drive, Dropbox or the file system you already use. Create one main folder and name it after your property:

[YOUR ADDRESS] — HOME FILE

Step 2: Add these 9 folders

You do not need an elaborate system. These nine folders will cover almost everything a homeowner needs to keep.

MEAGHAN’S TIP

Put the date first

When you save a document, start the file name with the date. Your computer will naturally keep the records in chronological order.

Use: YEAR-MONTH-DAY + DOCUMENT NAME

  • 2026-10-06 Closing Disclosure.pdf
  • 2027-03-14 Boiler Service.pdf
  • 2028-06-03 New Roof Invoice.pdf

Your setup checklist

You can set this up in about 15 minutes. Start with the folders; the documents can be added over time.

  • ☐ Create the main [ADDRESS] — HOME FILE folder
  • ☐ Create folders 01–09
  • ☐ Upload your closing documents
  • ☐ Save your survey and inspection report
  • ☐ Add your homeowners insurance policy
  • ☐ Add appliance manuals and warranties
  • ☐ Photograph important model and serial numbers
  • ☐ Save receipts for major repairs and improvements
  • ☐ Add future permits, COs and final approvals
  • ☐ Back up your most important records

A quick privacy note

Your digital home file should belong to you. Mortgage, insurance, tax and closing records may contain sensitive personal information, so keep them in your own secure account. Do not upload sensitive documents to a shared folder unless you specifically intend to share them.
